What information do we collect?

University of Regina Enrolment Services, in affiliation with our federated colleges ("we," "us," and "our") collect and use certain personal, interest, and behavioural information about prospective students and those interested in studying at the University of Regina ("your information").

During sign-up and interaction with our representatives/services/websites, you may be asked to share personal information such as your name, mailing address including postal code, phone number, email address, and date of birth.  We may also collect your school/educational information, interest in specific programs/faculties/colleges, Aboriginal ancestry, attendance at educational events, how you use our website(s), and your communication history with us.

Why do we collect this information?

We collect and use your information for the purposes of marketing, student services, relationship management, application forms, event co-ordination, academic/enrolment administration, and contest/survey administration.


How is information collected and stored?

We collect information under the authority of the University of Regina Act (Saskatchewan), in accordance with the Local Authority Freedom of Information & Protection of Privacy Act (Saskatchewan) and the Personal Information Protection & Electronic Document Act (Canada).

Primarily, we collect and update your information via these methods:

  1. An information card you completed when our representative visits your school or an educational/career event you attended
  2. An information card you completed from a publication that we distributed.
  3. When you submitted application for undergraduate admission to the University of Regina.

We also collect and update your information via mail, our website(s), email, telephone, and in-person.

Paper information cards collected by our representatives are stored securely until entered into our student information system. After entry and verification, the cards are securely shredded.

Electronic data is safely stored in a secure system located in Canada, regularly monitored by anti-virus and anti-hacking systems.


Who has access to this information?

Your information is accessible only to our authorised representatives. Access is restricted to the needs of each employee group. You also have access to your information via our secure website(s) using a personal username/password. You should not share your username/password with others, as then they may also have access to your information.

We do not sell, rent, share, or disclose your information with outside sources (except where required to comply with law enforcement or legal demands) without your express consent (for example, to refer your inquiry to another post-secondary institution).


How do you update your information on file with us?

From time to time, we understand that your information, such as contact details or program interests, may change. You can update most of your information by logging into our secure website(s), or you can contact our offices by phone, email, or in-person to change your information. When you contact us, we may ask that you verify your identity to ensure we are only sharing and changing information for the correct person.


How can you change how we contact you?

We only want to contact you for as long as you're interested in hearing from us. We include our contact information in all of our mail, email, and phone campaigns. All promotional (marketing) emails that we send you include a direct link to un-subscribe from future mailings or change your preferences. 

Changes are generally immediate. In some cases, such as printed material, we may have already sent a mailing list to our printing service when you make a change, and you may receive a mailing between the time that we update your information in the system, and when the marketing campaign went to print.
